Khecari is seeking an Operations Manager

This role is regarded as the backbone of the organization. The position is perfect for someone who loves to be the first to show up and last to leave. Khecari depends on the Operations Manager for their grounding dependability within the always-changing ecosystem of the non-profit dance world.

The Operations Manager (OM) works directly under the Artistic/Executive Directors (A/EDs) to oversee the daily operations and programmatic functioning. The OM is dedicated to the mission and values of the company, supporting equity and advocacy through Khecari’s ethical practices of equal pay, radical care of audience, and true-cost ticketing. The OM directly supports the A/EDs to best enable them to create Khecari’s art, and directs the company’s operations including grant writing and fundraising, audience and donor communications, event production and marketing, financial reporting and board engagement.

Applicants should have at least 2 years experience working with arts non-profits and be adept at and excited about taking detailed direction, fastidious management of minutiae, stepping back and trouble-shooting systems, and directing the workflow of others.

The OM position requires excellent interpersonal communications and strong writing and budgeting skills. Experience with or the ability to quickly master the following platforms is essential: Google Drive, Quickbooks Online, Salesforce, Excel.

The OM should be prepared to commute 4 days per week to Khecari’s Westridge office, and have a personal laptop usable for the job. Office hours for the OM are M, T, W, F from 11am-6pm. The OM is also expected to be present at all performances and special events.

The OM position will start at 25 hours per week at Khecari’s equal pay rate of $15/hour for weekly office hours. Additional hours will be added for performances and special events as the calendar for the year develops.

A detailed breakdown of job expectations:

FUNDRAISING (~ 35%)
-Connecting and communicating with donors and potential doors/audience
-Manage board engagement tasks / liaison to board with support of board president
-Be available some nights and weekends for fundraising events and performances
-Manage the tasks laid out in our fundraising plan
-Manage contact databases – Salesforce, Mailchimp
-Manage donor acknowledgments, communications
-Reporting on campaign progress

GRANT ASSISTANCE (~30%)
-Managing granting deadlines & setting up reminders for annual applications and final reports
-Assist with writing drafts, gathering documents, proofing submission materials
-Organizing grants in Salesforce
-Managing research of new granting sources

GENERAL OPERATIONS (~20%)
-Schedule management – keeping track of rehearsals, office hours, events and performances
-Assigning tasks and overseeing work flow
-Documenting workflows and procedures and disseminating them as needed
-Managing operational projects
-Event planning
-Keeping shared documents updated & organized
-Cleaning office and performance spaces

FINANCIAL TASKS  (~10%)
-Enter expenses into Quickbooks online
-Enter income into Salesforce
-Recording payroll hours
-Monthly reconciliation and reporting
-Liaison with accounting consultant
-Updating budget with YTD totals
-Budget tracking for specific projects

EVENT PRODUCTION (~5%)
-Organizing production tasks leading up to events
-Organizing the flow of the day-of tasks
-Confirming performers and staff
-Volunteer engagement
-Communication with audience / donors
-Stage management of productions and parties
